  • Sign out contiguously-shelved editions/copies to be recataloged
  • DO NOT sign out volumes in other locations. In the event of possible copies not shelved contiguously, a fingerprint will be made to compare other editions as they come up for cataloging
  • Make one sign-out slip for a shelf or other reasonably-sized range of contiguous editions/copies
  • Include number of physical volumes on sign-out slip
  • If any items on that shelf are already signed out, fill out a call slip and insert replace the original existing sign-out slip in dummy on shelf; mark it "Return to" and give original slip to RR for them to borrow the volume(s)
  • Put carbons in staff call slips drawer in Reading Room
  • Search the Access deacidification database to see whether any items on the shelf have been pre-identified for deacidification.
    • If an item is not on the list but should be, or if it is determined that an item should not be on the list, check either the "Add to" or "Remove from list" box in the db. Consult DJL and/or curator
    • If adding an item to the list, select the New Blank Record button on the top right of the screen and populate the Class/item, Copy, Number of units, and Sort order fields
    • The Sort order number is determined by where that item falls within the call number range. E.g., if adding an item following PR2752 1739, sort order number 14, that new item will have a sort order number of 14.2
    • Please include reason for Importance of the item, as well as any other pertinent information, preceded by cataloger's initials, in the Additional notes box
    • Click 'Refresh' button at top of page (also located under Home on toolbar) to update the db
    • Different preparation procedures will need to be created for the modern stacks, and for the "undated" call number sections.
  • Procedure for undated editions of the Works (PR2754) will be tabled until catalogers start encountering those volumes. In the meantime, the following options to determine workflow have been discussed:
    • Marking shelflist cards (not necessary for dated works)
    • Creating a shared spreadsheet (not necessary for dated works)
    • Researching dates of publisher activity to estimate publication date (obviously not necessary for dated works)
  • If it is determined that an undated book falls within another cataloger's time-frame, make a new sign-out slip for that book with the other cataloger's information, take the carbon of the new sign-out slip upstairs and place in the drawer. Place the original copy of the new slip on the shelf of the item in the vault, and mark the old sign-out slip "to <cataloger's name>" with that day's dates and your initials. Place the book on the other cataloger's shelf or cart. This cuts down on additional handling and reshelving, as well as providing the catalogers with a chance to confer over what each might know about a title while the information is still fresh in their minds.
  • Do not pull copies that do not need book-in-hand recataloging except in case of a question or problem. Just make sure they are properly represented in an 852 on the bibliographic record and a holdings record, as described in the section on Promptbooks.
